CCME is looking for a detail-oriented individual to join our team as a Project Coordinator. Reporting to the project manager, this position is responsible for assisting with project execution to ensure adherence to budget, schedule, and scope of work. This includes assistance in developing and updating communication systems, coordinating all project parties including subcontractors and utilities, reporting and invoicing. Technical report writing experience is highly desirable.
Responsibilities
- Ensure effective Project Coordination by understanding the project goals and participating in project meetings.
- Maintain project objectives, by monitoring budget and funding requirements, and schedules.
- Maintain and monitor project plans, project schedules, work hours, budgets, and expenditures.
- Organize, attend, and participate in stakeholder meetings.
- Provide administrative support as needed.
- Identify, review, or help select vendors or consultants to meet project needs.
- Monitor, track, and submit project milestones and deliverables as identified while conferring with project personnel to identify and resolve problems to meet required project timelines.
- Follow up and review all project deliverables
- Prepare and submit timely project status reports by collecting, analyzing, and summarizing information and trends.
- Ensure accuracy of documents and records.
- Ensure necessary training programs are in place and implemented based on new and revised systems, procedures, and/or applications.
- Communicate effectively with the project team and internal stakeholders for Scheduling, Accounting, and Human Resources.
- Complete tasks and assist in completion of one-off assignments.
- Ensure compliance with all Company policies and procedures.
- Ensure a safe, healthy work environment by following all safety, health, and environmental policies, procedures, and regulations per the Company’s IIPP, safe job practices, and other related programs.
- Work closely with the Project Manager to track and manage permit windows on all projects.
- Interact with state and federal agencies regarding project permits
- Complete or assist with close-out packages, creating as-built documentation and updating related records.
- Communicate with people outside the organization, representing the organization professionally to customers, the public, government, and other external entities via writing, email, telephone or in-person.
- Participate in project meetings as needed.
Qualifications
- 5+ years in with similar job functions required.
- Must have a valid driver’s license
- 5+ years of work experience with Microsoft Excel
- Experience in project coordination, including monitoring budgets, schedules, and expenditures.
- Experience in organizing, attending, and participating in stakeholder meetings
- Experience in preparing and submitting project status reports
- Experience in tracking and managing project milestones and deliverables
- Experience in interacting with state and federal agencies regarding project permits
- Experience in technical report writing
- 5-10 years in a similar job function
- Must be located in commutable distance to Fresno, California and in the United States
